Roster Story is all-in-one childcare management software for independent centers and small schools with one to ten campuses. It replaces Brightwheel, Procare, and Lillio, along with the disjointed apps and spreadsheets alongside them, so a director runs the whole day from one app: check-in and door access, tuition and subsidy (CCAP and CCDF) billing, health and state-licensing compliance, enrollment, and family messaging, at a published $2 to $4 per child per month. The same record runs daycares and preschools, after-school and enrichment, K-12 and micro-schools, and tutoring or test-prep programs.

What this is not

Nothing is taught through this software, and it never will be. Your teachers and tutors teach in the room. This runs everything around that: the enrollment, the attendance, the record, the bill, the licensing file. That is true whether you run an infant room or an exam-prep center.

  • Students do not have accounts. There are five kinds of login here: owner, administrator, teacher, staff, and parent. A child never signs in, because there is nothing for them to sign in to.
  • No lessons, no coursework, no screen time. A teacher or tutor writes down what was covered and how it went. That is a record of teaching, not a replacement for it. We will never sell you content, and we will never put a child in front of our app to learn.
  • Your curriculum stays yours. Montessori, Reggio, HighScope, an SAT syllabus, your own: we record against your subjects and development areas. We do not tell you what to teach, and we do not grade whether it worked.

We already build to the Trust Services Criteria the audit tests: role-based access, an append-only audit trail, change control, encryption in transit, and least-privilege internally. SOC 2 Type II is on the roadmap, and we will publish the report the day we hold one.
  • Built to modern privacy standards. Data minimization, purpose limits, deletion on request, and an export you can take with you, applied to every record we hold.

Why annual contracts?

Schools run on school years and budget years, so we do too. One decision, one invoice, and your whole year is set. You start whenever you're ready, so you're never more than a few weeks from going live.

What if we want to leave?

Cancel with a click any time before renewal and your term simply ends. There's no phone gauntlet and no retention script. You'll have your renewal price in writing at least 60 days before the date, so nothing renews as a surprise. And your records are always yours: one click exports everything, photos, logs, and billing history, whenever you want, forever.

What happens when we add students mid-year?

Your contract covers a chosen student count. In any month your roster runs over that count, only the extra students are billed for that month, at your same per-student rate, up to the $599 campus ceiling. On a 50-student Roster Story contract, running 52 students for two months adds $8 for each of those months, $16 in all, and months back at or under 50 add nothing. Growing never triggers a renegotiation; if you've grown for good, we simply reset the count at renewal.

What counts as an active student?

Anyone enrolled on your roster at any point during the month, even a single day: the same roster you already run the school on, so the number is always yours to inspect. Waitlisted children never count, and a withdrawn student stops counting the month after their last day.

Can we start on Engage and upgrade later?

Yes. Engage and Operate run on the same account and the same records, so upgrading is a switch we flip, not a migration. Most schools reach for the ops side the first time billing season or a licensing visit makes it worth $2 more.

We have two locations. How does that price?

Each campus has its own $79 floor and $599 ceiling at the same $4 rate, all on one account: each site cleanly separated, everything rolled up for you.

Which states do you support?

Ratio and licensing rules are configured per state during onboarding. Tell us your state and we'll show your rules live in the demo.

We take CCAP and CCDF families. How does Roster Story handle agencies?

As payers in their own right. Each agency, whether it's CCDF, Head Start, a state voucher, military, tribal, or an employer program, gets its own ledger. A subsidized child's invoice splits automatically between the family's share and the agency's, claim exports are built from the attendance you already took, and when the agency payment arrives you reconcile it line by line. All of it is in the standard $4 plan, not an add-on.

Switching from another app? How does migration work?

Bring your export file. Brightwheel, Procare, and Lillio exports import as-is: roster, families, immunizations, and starting balances all carry over. Every import shows you a preview first, so nothing lands until it looks right. Migration is free on every contract, and we plan a new center's go-live for about a week out.

What does setup cost?

Nothing. Onboarding and data migration from your current system are included on every contract.

What do families pay to pay us?

Families pay in the app by bank transfer or card. Today, payment processing passes through at cost: we add no margin on your tuition, and neither can your school. The exact processing cost is shown at checkout before a family pays.

Will a human answer when something breaks?

Yes. Every plan includes human support for your school through the in-app support center, and a real person replies within one school day. Anything that blocks check-in or blocks a payment jumps the line, with a callback until you're unblocked. Parents reach out through their school, so families always hear one consistent answer.

Roster Story exists because the people running schools were handed a drawer of disconnected apps and told to make it work. We think they deserve one system that holds together.

Roster Story started with a founder watching people they loved drown in a drawer of disconnected tools. A director re-keying the same child's name into five apps. A teacher choosing between being present with the kids and keeping the record straight. Parents piecing together their child's day from a group chat.

So we set out to build the one system a school runs on. It had to survive a licensing inspection on Monday and still be the thing a parent opens at pickup on Friday. The director signs the check, but she is not the only one who has to love it: if the teacher will not open it during nap, and the parent will not open it at five, the record is not one record. It is three, and they will disagree by Thursday.

We're a small, deliberate team. We'd rather do one platform exceptionally than ten features adequately, and we measure ourselves against a simple test: did this help a real director on a real Monday morning?

Whose data this covers

Schools use Roster Story to manage information about children, families, and staff. In legal terms, your school controls that data and Roster Story processes it on your behalf, under your instructions.

What we collect

  • School records you enter: attendance, health and immunization details, teacher observations, enrollment, and billing.
  • Account information for the people who use Roster Story: names, roles, and contact details.
  • Basic usage data needed to keep the service secure and working, like sign-in activity.

How we use it

We use information only to provide and improve Roster Story for your school, and nothing else. We do not sell personal data, and we do not use children's information for advertising, ever.

Children's information

Records about children are among the most sensitive we hold. Access is limited to the people your school authorizes, custody and privacy restrictions are enforced automatically, and sensitive actions are logged.

Keeping it safe

Data is isolated per school, protected by role-based access controls, and backed up. We design so that only the right people can reach a given record.

Your rights & your data

Your school can access and export its data at any time. When you leave Roster Story, you can take your records with you, and we'll delete what remains on request.
